How we learned to compare — and why it matters
The story of Compare Solutions Co is a timeline of lessons, pivots and sharpened methods. Each chapter made our comparison frameworks more precise.
Chapter one — 2019
The founding question
Our founder, a former procurement analyst, kept seeing the same problem: organisations chose suppliers based on sales pitches rather than structured evidence. The first version of our comparison methodology was a spreadsheet shared with three colleagues. It worked well enough that word spread to neighbouring firms within weeks.
Chapter two — 2020
Pressure-tested by remote work
When remote procurement became the norm, buying teams lost the informal corridor conversations that used to catch bad decisions. We formalised our comparison matrices into a repeatable digital format. During this year alone we helped nineteen organisations compare software platforms for collaboration, accounting and customer management — identifying hidden costs that averaged twelve per cent above quoted prices.
"Their side-by-side analysis uncovered a licensing clause that would have doubled our costs in year two." — IT lead, education charity, South East England
Chapter three — 2021
Beyond technology
Clients began asking us to compare non-tech services: insurance packages, logistics providers, marketing agencies, even office fit-out contractors. We expanded our methodology to handle qualitative factors — culture fit, responsiveness, geographic coverage — alongside quantitative pricing and feature grids. This was the year we moved from a solo consultancy to a team of four analysts.
Chapter four — 2022
The decision-board framework
We introduced our proprietary decision-board format: a living document that maps every vendor against weighted criteria, tracks changes over the evaluation period and produces a final recommendation with a confidence score. The framework reduced average decision time from eleven weeks to just under four.
Fit check: If your team spends more than three meetings debating the same shortlist without new data, a decision board will break the loop.
Chapter five — 2023
Sector specialisation
We developed sector-specific comparison templates for healthcare procurement, financial services vendor selection and property management supplier evaluation. Each template encodes the regulatory and operational nuances of its sector so that nothing critical is overlooked. Our healthcare template, for instance, includes data-residency checks, Caldicott compliance markers and interoperability scoring.
Chapter six — 2024-present
Continuous comparison as a service
Many clients now retain us for ongoing market monitoring. Instead of a one-off comparison, we provide quarterly updates that track how their current provider performs against emerging alternatives. This model has already helped three clients renegotiate contracts at significantly better terms simply by arriving at the table with current market evidence.
"Having fresh comparison data at renewal time shifted the negotiation dynamic entirely in our favour." — Finance director, property group, West Midlands
